Secretary

The Secretary is the administrative backbone of the club, ensuring smooth communication and organisation.

  • Primary Contact: Acts as the main point of contact for all club enquiries.
  • Administration: Manages all club correspondence, distributes information to relevant officers, and ensures smooth administrative operations.
  • Meetings: Prepares and distributes agendas, takes minutes at committee meetings, and organises the AGM.
  • Documentation: Ensures all members have access to the Constitution and other required documents, insurance details, and contact information.
  • Coordination: Works with the Treasurer to ensure financial documents are accurate and payments are timely.
  • Facilities: Organises and books facilities and courses for the season.

Chairperson

The Chairperson leads the club, ensuring it operates efficiently and effectively while representing it at various levels.

  • Leadership: Chairs all club meetings, including the AGM, and presents the annual report.
  • Coordination: Oversees the club's activities and development, ensuring efficient management.
  • Representation: Represents the club at local and regional levels and attends external meetings.
  • Compliance: Upholds the club constitution and Archery GB policies, ensuring all committee members are aware of their importance.
  • Motivation: Leads and motivates club members towards achieving development goals.
  • Safeguarding: Works with the Welfare Officer to ensure the club's safeguarding and disciplinary processes are followed.

Treasurer

The Treasurer manages the club’s finances, ensuring all financial transactions are accurately recorded and reported.

  • Financial Management: Manages the club’s income and expenditure, ensuring accurate records.
  • Reporting: Prepares and presents financial reports at committee meetings and the AGM.
  • Compliance: Ensures the club’s accounts are audited and complies with legal and regulatory requirements.
  • Budgeting: Advises on budgeting, fundraising, and financial planning.
  • Payments: Collects and banks membership fees, pays bills and expenses, and seeks external funding and grants.

Coaching Organiser

The Coaching Organiser develops and oversees training programmes to enhance members' skills and performance.

  • Training Programmes: Develops and oversees training programmes for club members.
  • Coach Coordination: Coordinates the activities of club coaches and ensures they are up-to-date with Archery GB guidelines.
  • Skill Development: Identifies and addresses the training needs of members to improve their skills.
  • Event Organisation: Organises coaching sessions, workshops, and training camps.

Welfare Officer

The Welfare Officer ensures the safety and well-being of all club members, particularly children and vulnerable adults.

  • Safeguarding: Ensures the welfare of children, young people, and vulnerable adults within the club.
  • Policy Implementation: Implements Archery GB’s safeguarding policies and procedures.
  • Support: Provides support and guidance on welfare issues to club members.
  • Training: Ensures all relevant members have completed necessary safeguarding training.

Assistant Welfare Officer

The Assistant Welfare Officer supports the Welfare Officer in safeguarding duties and welfare-related tasks.

  • Support Role: Assists the Welfare Officer in their duties.
  • Safeguarding: Helps implement safeguarding policies and procedures.
  • Training: Supports the delivery of safeguarding training to club members.

Records Officer

The Records Officer maintains the club’s shooting records and organises competitions to track members' progress.

  • Record Keeping: Maintains and updates the club’s shooting records, including scores, classifications, and awards.
  • Competitions: Organises and runs club competitions and leagues.
  • Recognition: Issues certificates, badges, and trophies to members achieving new personal bests or awards.
  • Communication: Publishes and displays the club’s records and rankings.

Junior Representative

The Junior Representative advocates for junior members, ensuring their voices are heard within the club.

  • Youth Advocacy: Represents the interests of junior members within the club.
  • Engagement: Encourages junior participation in club activities and events.
  • Feedback: Provides feedback from junior members to the committee.

Tournament Team Lead

The Tournament Team Lead organises and manages club tournaments, ensuring they run smoothly and efficiently.

  • Event Management: Organises and oversees club tournaments and competitions.
  • Coordination: Coordinates with other clubs and organisations for inter-club events.
  • Logistics: Manages the logistics of tournament setup, including equipment and facilities.

Equipment Officer

The Equipment Officer manages the club’s equipment, ensuring it is well-maintained and available for use.

  • Inventory Management: Maintains an inventory of club equipment.
  • Maintenance: Ensures all equipment is in good working order and arranges repairs or replacements as needed.
  • Distribution: Manages the distribution and collection of equipment for club activities.

Scheduling Officer

The Scheduling Officer ensures the club’s calendar is up-to-date and coordinates with event organisers.

  • Update & Maintain Calendar: Regularly update and maintain the club’s calendar to reflect operational changes, events, and activities.
  • Inform Committee of Local Events: Keep the committee informed of local events and activities that may impact club operations.
  • Coordinate with Event Organisers: Liaise with event organisers to ensure all relevant information is captured and accurately reflected in the calendar.
  • Communicate Changes: Notify club members and committee of any changes or updates to the calendar in a timely manner.
  • Assist with Event Planning: Provide support in planning and scheduling club events, ensuring they are well-coordinated and do not conflict with other local events.
  • Maintain Records: Keep accurate records of past events and activities for future reference and planning.
  • Support Committee Members: Assist other committee members with administrative tasks as needed, ensuring smooth operation of the club.
  • Promote Club Activities: Gather and send information about club activities and events to the designated person responsible for updating the website and social media channels.

Additional Responsibilities

Additional responsibilities can be assigned as required by the executive committee (Secretary, Chair & Treasurer) or can be adjusted as per the constitution.

All roles are subject to election at the AGM in accordance with the constitutional rules. Members interested in learning more about a role or standing for election are required to notify the Secretary, this can be done from the date the
